Our main vendor portal crashed on a Tuesday morning and I had 14 client invoices stuck in limbo
Back in the day we just mailed paper invoices and nobody worried about a server going down, but now everything runs through this one portal our biggest supplier uses. It went down around 9am and stayed broken for six hours, so I had to call every client and explain why their billing was late, which felt awful. Has anyone found a good backup system for when your main B2B tool just dies on you?
We keep a shared spreadsheet on Google Drive with all the client info and invoice numbers, and when the portal dies we just email PDFs straight from our own system. Takes maybe an extra 20 minutes but at least nobody's billing sits in limbo for six hours. The key is updating that sheet every time you send something through the portal so it never gets stale. Not fancy but it saved us twice last year.
